File Format (PDF vs DOCX)

File format refers to the document type used for resume submission, with PDF and DOCX being the most common, each having different ATS compatibility implications.

The two primary file formats for resume submission are PDF (.pdf) and Microsoft Word (.docx), and the best choice depends on the employer's instructions and ATS capabilities. Both formats are widely accepted, but they have different strengths and trade-offs.

PDF files preserve your exact formatting across all devices and operating systems — the layout, fonts, and spacing look identical everywhere. However, some older or simpler ATS platforms have difficulty parsing PDF files, particularly those created from design tools like InDesign or Canva, which may save text as vector paths rather than selectable text.

DOCX files are natively compatible with virtually all ATS software because Word documents store text in a structured XML format that parsers can reliably read. The downside is that formatting may shift if the recipient's system uses different fonts or a different version of Word. When a job posting does not specify a format, DOCX is generally the safest choice for ATS compatibility. If the posting requests PDF, submit PDF. Always ensure your PDF is text-based (you can select and copy the text) rather than a scanned image.
